Acceptable Use Policy
Purpose
This Acceptable Use Policy explains the rules for using the Educonnex service provided by Educonnex Pty Ltd. It is intended to help protect users, schools, personal information, and the security and availability of the service.
This policy should be read together with the Educonnex Terms and Conditions, Privacy Policy, and any additional rules or policies issued by the customer school or organisation.
Scope
This policy applies to all users who are given access to the Educonnex service, including school staff, administrators, students, parents and carers, contractors, and other authorised users.
This policy applies only to the Educonnex service.
Acceptable Use
Users must:
- Use the service only for legitimate school, education, administration, communication, or other purposes authorised by the customer school or organisation.
- Use only the functions and information that are appropriate to their assigned role and level of access.
- Follow reasonable instructions provided by the customer school or organisation and by Educonnex support or administration staff.
- Provide accurate information where they are responsible for entering or updating information.
- Respect the privacy, confidentiality, safety, and rights of students, staff, parents, carers, and other users.
- Use communications, notes, uploads, and other content responsibly and for appropriate school-related purposes.
- Report suspected security incidents, unauthorised access, privacy concerns, or misuse to the school or organisation and, where appropriate, to Educonnex.
Account and Password Security
Users must:
- Keep passwords, sign-in details, authentication codes, and other credentials confidential.
- Use only their own account unless an authorised administrative process specifically permits otherwise.
- Not share an account or allow another person to use their account.
- Not attempt to obtain another user’s password, authentication code, or access credentials.
- Sign out or otherwise secure access when using a shared or unattended device.
- Notify the school or organisation promptly if they believe their account has been compromised.
Privacy and Personal Information
Users must:
- Access personal information only where they are authorised and have a legitimate reason to do so.
- Not browse, search for, copy, export, disclose, or share personal information for an unauthorised purpose.
- Take particular care with sensitive information, including medical, disability, identity, family, contact, behavioural, attendance, academic, and other student or staff information.
- Only upload or enter information that is appropriate for the authorised purpose.
- Follow the customer school’s or organisation’s privacy, records, child-safety, and information-handling requirements.
Prohibited Use
Users must not:
- Attempt to gain access to accounts, records, functions, systems, or data that they are not authorised to access.
- Attempt to bypass, disable, interfere with, or defeat authentication, access controls, monitoring, security protections, or technical restrictions.
- Probe, scan, test, exploit, reverse engineer, or otherwise attempt to identify or use security vulnerabilities without prior written authorisation.
- Introduce malware, malicious code, automated attacks, excessive requests, or other activity intended to disrupt or degrade the service.
- Modify, delete, corrupt, conceal, or manipulate information without authority.
- Use the service to bully, harass, threaten, discriminate against, impersonate, defame, or deliberately harm another person.
- Upload, send, store, or distribute unlawful, abusive, sexually explicit, violent, hateful, malicious, or otherwise inappropriate content.
- Use the service for unauthorised advertising, commercial activity, political campaigning, spam, or unrelated personal purposes.
- Infringe copyright, intellectual property, confidentiality, privacy, or other legal rights.
- Use automated tools, scripts, bots, scraping tools, or integrations unless they are authorised by the customer school or organisation and permitted by Educonnex.
Student and Child Safety
Where students or children use the service, users must act in a manner consistent with the customer school’s or organisation’s child-safety and safeguarding requirements.
- Users must not use the service to groom, exploit, intimidate, harass, or otherwise place a child at risk.
- Users must not request unnecessary personal or sensitive information from a child.
- Concerns about a child’s safety, welfare, or inappropriate use of the service should be reported promptly through the school’s or organisation’s established safeguarding or incident-reporting process.
Communications and Content
Users are responsible for content they create, upload, send, or enter through the service. Content should be accurate, appropriate, respectful, and relevant to the authorised purpose.
- Do not send communications that are misleading, abusive, threatening, discriminatory, or inappropriate.
- Do not upload files or content that contain malware, unlawful material, or information the user is not authorised to disclose.
- Do not use another person’s identity or account to send communications or create records.
Monitoring and Audit
Use of the Educonnex service may be logged or audited for security, support, compliance, operational, and accountability purposes. This may include recording sign-in activity, access times, IP addresses, and actions performed while a user is signed in.
School or Organisation Responsibilities
Customer schools and organisations are responsible for:
- Authorising users and assigning appropriate access and permissions.
- Managing user access when roles change or access is no longer required.
- Providing users with any additional school-specific acceptable-use, privacy, child-safety, or technology rules that apply.
- Ensuring information entered into the service is collected and used lawfully and appropriately.
- Responding to student, staff, parent, carer, privacy, and safeguarding matters that fall within the school’s or organisation’s responsibilities.
Breaches of this Policy
Suspected or confirmed misuse may be investigated. Depending on the nature and seriousness of the issue, access may be restricted or suspended, the relevant school or organisation may be notified, and further action may be taken where required by contract or law.
Reporting a Problem
Users should normally report concerns to the school or organisation that provided their access. Educonnex support can also be contacted where a concern relates to the operation or security of the Educonnex service.

Educonnex may update this policy from time to time to reflect changes to the service, security requirements, legal obligations, or business operations. The current version should be made available to users before or when they are given access to the service.
